Event & Venue Requirements
In order to produce the best possible Retro Roadshow exhibition, we request that venues hosting a Retro Roadshow event provide the following:
Setup & Pack Out
3 side-by-side designated parking spaces as close as possible to the event space for loading / unloading exhibits.
Note: having these spaces be side-by-side is important, as it creates space for us to park our cargo van and load / unload through the side doors using our rolling hand-truck without risk of damage to other nearby vehicles.
2.5-hour window before event start time for unloading, exhibit set-up, and testing; 3-hour window if navigating elevators, stairs, parking garage, etc.
2.5 hour window for exhibit breakdown/pack-out; 3 hour window if navigating elevators, stairs, parking garage, etc.
Note: If setup or pack out windows present any challenges, please raise them with us in advance so we can work out a mutually-agreeable plan.
Facilities & Equipment
Access to the event space the day before the event for unloading, setup, and testing (if applicable).
Note: for some larger or more complex events, this may become a requirement for a successful exhibition.
For a typical Retro Roadshow exhibition, we require 5 - 7 sturdy tables, 6’ - 8’ length each.
Note: some events may require more or fewer tables depending on the quantity of artifacts being exhibited, floorspace / layout, etc. Please raise any questions or concerns in advance - we’re happy to discuss options and strategies.
Note: in most situations we advise against providing chairs with the exhibit tables, as this tends to encourage attendees to ‘camp out,’ making it harder for others to get hands-on time.
Accessible power outlets.
Note: all artifacts exhibited by The Retro Roadshow use standard 110v power (no 220v outlets needed).
Contact info for facilities personnel who can reset breakers if needed.
An employee onsite and available during the event.
Access to a fire extinguisher.
Room temperature set at 68 degrees or below if possible.
Note: vintage electronics tend to run warm, and when this is combined with large numbers of people moving around, ambient temps tend to rise quickly. We’ve found that in most venues, setting the AC to ~68 degrees results in a comfortable experience for attendees and keeps the exhibits running smoothly.
Extra extension cords / power strips.
Secure area to store our containers during the event.
Access to restrooms.
Access to drinking water.
Presentation Resources (if applicable for your event)
Audience chairs set up in advance for presentation.
HDMI-compatible projector or monitor for presentation.
Podium for presentation.
Microphone for voice amplification during presentation.
Optional (But Appreciated!) Resources
Rolling cart, wagon, dolly, hand-truck, etc.
Guest passes / visitor badges / parking passes for Retro Roadshow team (if applicable).
Final note:
Our ultimate goal is to ensure that you and your guests have an absolutely unforgettable experience! We love curating and customizing our Retro Roadshow events for our clients to make the best of their vision and venue. If there are any questions or concerns about any point noted above, we’re more than happy to discuss and work out a mutually-agreeable solution. Also, we have an extensive library of photos and videos from our previous events which we can share for reference, layout and staging inspiration, etc. - just let us know.
